Privacy Policy

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

• names
• phone numbers
• email addresses
• contact preferences
• age
• school
• university
• usernames
• passwords
• any information mentors add to their profile, including profile photos, biography, etc.
• the result of an identity check carried out by our verification provider, and a few identity details such as name and date of birth (we never receive copies of your documents; see Section 14)
• any optional info users provide

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies. Our public forms use Google reCAPTCHA to protect against spam and automated abuse; it runs in the background and shares limited technical information, including your IP address and browser and device details, with Google (a US provider), which returns only a risk score to us. The information we collect includes:

• Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called 'crash dumps'), and hardware settings).
• Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
• Location Data. We collect location data such as information about your device's location, which can be either precise or imprecise. How much information we collect depends on the type and settings of the device you use to access the Services. For example, we may use GPS and other technologies to collect geolocation data that tells us your current location (based on your IP address). You can opt out of allowing us to collect this information either by refusing access to the information or by disabling your Location setting on your device. However, if you choose to opt out, you may not be able to use certain aspects of the Services.

Our use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Where you take part through your school, your school can record two pieces of information about you on our platform: a disadvantaged indicator drawn from records your school already holds, and, only where you have given the outcome consent, whether you applied to the university you spoke with and whether you enrolled. For this information your school is the data controller and Already Doing It acts as your school's processor, holding and displaying it on your school's behalf under a written agreement. It is only ever reported onward as anonymised, aggregated figures.

If you give the outcome consent, your school may confirm at the end of the year whether you applied to the university you spoke with, and whether you enrolled. The university involved only ever receives this as an anonymous number within grouped figures, never your name and never linked to anything you said. You can withdraw this consent at any time.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

• To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
• To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
• To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
• To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
• To fulfil and manage your orders. We may process your information to fulfil and manage your orders, payments, returns, and exchanges made through the Services.
• To enable user-to-user communications. We may process your information if you choose to use any of our offerings that allow for communication with another user.
• To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
• To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
• To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
• To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
• Identity Verification. To confirm the identity and eligibility of Uni Insider applicants and keep the platform safe, we use a specialist verification provider, Didit, which checks the applicant's photo ID, confirms a live person is present, and matches their face to the document. We never receive or store any copy of the document or any image; we receive only a confirmed result and a few identity details. This is described in full in Section 14. We do not use this information for marketing or profiling.
• To enforce platform rules and handle disputes.
• To improve the platform and user experience.
• To maintain safety and compliance.
• Safeguarding Reports and Child Protection.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

• Consent. We may process your information if you have given us permission (i.e. consent) to use your personal information for a specific purpose. You can withdraw your consent at any time.
• Performance of a Contract. We may process your personal information when we believe it is necessary to fulfil our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
• Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
  • Analyse how our services are used so we can improve them to engage and retain users
  • Diagnose problems and/or prevent fraudulent activities
  • Understand how our users use our products and services so we can improve user experience
  • In order to investigate reports of misconduct, protect mentors and students, and resolve disputes fairly and lawfully.
  • In order to analyze how users interact with the website and mentoring services so you can optimize functionality, identify trends, and enhance service quality.
  • In order to monitor activity for safeguarding, prevent misuse, and ensure compliance with platform rules and legal obligations.

If a safeguarding concern is reported through our website or via email, we may collect and process personal information contained in the report, including names, contact details, session references, and incident descriptions. This information is used solely for the purpose of safeguarding, investigating concerns, protecting users, and complying with legal obligations. Where necessary and lawful, safeguarding information may be shared with relevant authorities. Safeguarding data is stored securely and only accessed by authorised personnel.

• Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
• Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.

• Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ('third parties') who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your personal information. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will also not share your personal information with any organisation apart from us. They also commit to protect the data they hold on our behalf and to retain it for the period we instruct.

The service providers we share personal information with are set out in the section 'Who helps us run the service' below.

We also may need to share your personal information in the following situations:

• Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

In some regions (like the EEA, UK, and Switzerland), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below.

We will consider and act upon any request in accordance with applicable data protection laws.

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.

If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.

Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below or updating your preferences.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.

If you would at any time like to review or change the information in your account or terminate your account, you can:

• Contact us using the contact information provided.
• Log in to your account settings and update your user account.

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. You can ask for a copy of your information, correct it, object to processing based on legitimate interests, withdraw any consent, or have your data deleted. Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

Survey Data: Students are asked to complete pre and post session reflection surveys as part of the Already Doing It platform. Individual survey responses are treated as strictly confidential and will never be shared with schools or any third party in an identifiable form. Session IDs are used solely to match pre and post session responses for the purpose of measuring outcomes. Aggregated and anonymised data derived from surveys may be used by Already Doing It Ltd for platform improvement, impact reporting, and marketing purposes.

Sessions are never recorded. Occasionally, and only with the student's advance permission, a member of the Already Doing It team may join a live session to observe for safeguarding and quality assurance. The observer identifies themselves at the start, does not take part, and makes no recording and no written record. Declining observation has no effect of any kind on the session.

If you apply to become a Uni Insider, we ask you to share a short introduction video of yourself (around 60 seconds) as part of your application, provided as a link to a video you host yourself. We view your video through your link to assess your application; a human reviewer makes every decision, and we never use automated or facial-analysis technology on it. We do not store the video on our systems: we keep only your application record (the link), which is deleted when you are certified if your application succeeds, or 6 months after our decision if it does not. Please keep your link accessible until we have made a decision. If you cannot provide a video for accessibility reasons, contact us and we will agree an alternative format.

To confirm your identity, we use a specialist identity-verification provider called Didit. When you verify, Didit checks that your photo ID document is genuine, uses your device camera to confirm a real, live person is present, and matches your face to the photo in your document. This involves processing biometric data (data derived from your face), which is a special category of personal data, so we ask for your explicit consent before the check begins, and you can decline. If you would prefer not to use the camera-based check, contact us and we will agree an alternative way to verify your identity. Didit processes your verification data in the European Union and deletes the underlying images and video after 12 months; you can read more in Didit's own privacy notice. Already Doing It never receives or stores any copy of your document or any image of you; we receive only a confirmed result and a few identity details such as your name and date of birth. Ticking the consent box lets the verification go ahead; you can withdraw your consent at any time, which stops any further processing and deletes the details we hold, but it cannot reverse a verification result we have already received, and we tell you this before you start.

Before certification, we also ask for a single Setup Check screenshot showing your session setup. Close personal tabs and notifications before taking it; if a screenshot accidentally captures personal information, we delete it and ask for a retake. The screenshot is deleted as soon as it is verified, and we keep only a record that the check was passed and the date. Our legal basis for the application and verification processing is taking steps at your request before entering a contract with you, and, for the biometric identity check, your explicit consent.

We use a small number of service providers to run the platform: 10Web (hosting), Google (calendar invitations and encrypted backups), Amelia's SMS service (sending booking confirmations, reminders and cancellations by text; it receives the recipient's phone number to deliver the message), Zoho (email), Brevo (email sending), Stripe (payment processing for direct bookings; it receives your payment details and the payer's email to send a receipt) and Didit (identity verification for mentor applicants, processing verification data in the EU); Google reCAPTCHA (protecting our forms from spam and automated abuse; Google receives your IP address and browser and device information to assess whether you are a real person, and is based in the US). Where a provider stores data outside the UK, transfers rely on UK adequacy or the UK's approved transfer safeguards.

Where school or university staff hold accounts on our platform, we process their name, work contact details and login records to provide and secure the account, on the basis of our contract with their institution and our legitimate interests in running the service. This information is kept while the account is active and removed within 12 months of the account closing.

Users under the age of 18 must have a parent or guardian present at the start of any mentor session. Users must provide accurate age information and ensure the stated parent/guardian is actually present. Already Doing It is not liable for any misrepresentation of parental consent.

Personal data is collected and processed in compliance with GDPR/UK GDPR. Users have the right to access, correct, or request deletion of their personal information by contacting hello@alreadydoingit.co.uk. Users can also update consent preferences via their account or by contacting support.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.
